Additional Information

We are an internal provider specializing in planning and coordinating conferences, special events and more from beginning to end both on-campus as well as off-campus. We are a One-Stop-Shop certified organization. Meaning to execute the many moving pieces and parts of a conference, we are the one voice you talk with to handle all of those pieces. We seek, research and secure the necessary elements of a successful conference and sign agreements on your behalf, and in many cases, converse with Procurement to handle the necessary documents and procedures needed. In the end, we provide a turnkey and pleasurable experience for the client. Our staff is skilled and experienced in handling all kinds of events, situations, and meetings.

Items we can assist with:

Event registration: collecting attendee data and information and accepting electronic payments when a registration fee is charged, plus our team can be the ones checking in attendees on-site Conference planning – we can assist you in executing your conference from A to Z. Some of these items include:

  • Meeting room(s) reservations and contract signing plus room diagrams to assist with execution with the venue for set-up.
  • Catering – meal planning and coordination with the caterer(s)
  • Posters – coordination of in-person posters including delivery and pick-up, working with vendors and signing contracts for clients.
  • Abstracts – collection of abstracts online in one central hub
  • Printed materials and trinkets – if your event has printed pieces for attendees that need to be prepared, our staff can assist in all phases of the print production, sorting and inventorying of these items in advance of the event until distribution at the event.
  • Hotels – securing of hotel rooms, rates around town and signing contracts on behalf of the client
  • Excursion – planning and execution of on-site or off-site excursion for conference attendees, including securing venue(s), signing agreement(s) with venue(s) and securing any auxiliary items at the venue such as ticketing, catering, special event planning and more.
  • Transportation – working with transportation vendors to provide services to attendees either getting to/from area lodging destinations to the conference site and/or to arrange for service to/from excursion location(s) as well as signing agreements with vendor(s) and Procurement on behalf of the client.
  • Virtual and Hybrid events – utilizing a virtual event platform and staffing and executing the virtual event needs to provide a smooth experience for attendees and speakers alike. This includes pre- planning leading up to the event as well as securing the needs of an AV provider for cameras and technicians if needed for hybrid event execution.
